Privacy and Confidentiality

Preface

The REALM Spiritual Advisor ethos of empowerment includes informed decision making. That includes respecting the individuals that visit our site and their right to privacy and confidentiality. At the same time, we have legal obligations to ensure that we protect people’s information (to the best of our ability), and to explain to our customers how we use their information, the measures we take to protect confidentiality, and the recourse available to them if there is a breach. It would be foolhardy to think that any information on the internet is 100% secure- and while realm takes measures, when registering with realm – you have agreed to our privacy policy in the terms and conditions of use. If you do not agree with realm policies you should not use this site. 

Important Information

SPECIFICALLY, REALM SPIRITUAL ADVISORS (RSA) , IS BOUND BY THE AUSTRALIAN PRIVACY ACT 1988 (CTH). THIS ACT SETS OUT THEprinciples concerning the privacy of individuals.Any legal issue or dispute arising from the use of this site is to be governed by Australian law. It is not possible for a website to make a 100% guarantee around privacy and confidentiality. Sites rely on third party providers, who can access information when requested by government bodies and all websites are bound to adhere to the law. Measures taken by REALM to protect privacy and confidentiality include:

1. Deidentification of both the Consultant and the Client – and the encouragement of the use of discretion around personal disclosures.

2. Refusal to store payment information provided to REALM by customers. (This information is retained when the customer agrees with the third party payment processor). 

3. Terms and Conditions of Use to prevent the sharing of personal and identifiable information. 

4. Consultant  information (such as payment, business and personal details) are stored in a secure drive offline (behind further security). 

5. Review of recorded or chat transcripts will ONLY occur with the consent of both parties, as part of an investigation into a complaint or misconduct. 

Collection of Information

If you feel that your rights under the Australian Privacy Principles have been infringed, you should let us know IMMEDIATELY about your concerns so that we can remedy them. Under the law you are obligated to allow REALM an opportunity to remedy the problem and if dissatisfied you hold the right to escalate your complaint to the authorities – Office of the Australia Information Commissioner:  http://www.oaic.gov.au. You have agreed in your Terms and Conditions to inform REALM Admin of your complaint before lodging a complaint with the Commissioner, (as per your legal obligations); and you have agreed to notify REALM Admin in the event that you have lodged a complaint with them. 

Information We Collect

We collect information from you when you register on our site, place an order, respond to a survey or fill out a form. When ordering or registering on our site, as appropriate, you may be asked to enter your: name, e-mail address, mailing address, phone number, credit card information or other details as determined to be needed as part of service delivery or responding to service queries. REALM does not collect payment details, or store them.  You may, however, visit our site anonymously. Like most websites, we use cookies to enhance your experience, gather general visitor information, and track visits to our website. Please refer to the ‘We use cookies’ section below for information about cookies and how we use them.

How We Use Your Information

REALM does not hold any unnecessary information about you, and the information we do use is outlined in the following ways: 

  • To personalise your experience – your information helps us to respond better to your individual needs. Including for instance, the provision of an Account where you can easily identify your transaction history.
  • Improve Customer Service – We can respond more effectively to any of your service requests and support needs. (This can include through emailing survey links).
  • Website Improvement – We continually strive to improve our website offerings based on the information and feedback we receive from you.
  • Transaction Processing –  Your payment information when purchasing services on REALM is collected by a third party payment gateway.  Your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of delivering the purchased product or service requested by the customer.
  • Administration – To administer a contest, promotion, survey, or other site feature. Consultant members may be contacted as part of identifying any training or other needs in a survey, or as notification that REALM has provided a new feature to support them in their roles as Consultants.

Data

As per common practice for web servers, we use log files. Data logged includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks. Click behaviour is monitored to analyze trends, administer the site, track the navigation of users through the site and gather broad demographic information to provide an indication of users in the aggregate. There is no direct link between the data collected in this manner and your personal identity. Search terms may also be monitored to determine what users are interested in.

If you send an email to an email address on the RSA site, (or through the use of the Contact Forms) , the information contained in the email will be collected by us. This information is held securely and cannot be accessed by anyone without password access to our server. We hold this information in order to respond to your email if you have requested us to do so.

Third Party Cookies

Third Party cookies are outside the control of RSA. For instance, service providers and domain providers have their own privacy and collection policies, and the cookies are not provided by the RSA website. If you do not wish to have cookies on your system, you can block cookies. You can also delete cookies. The method for doing this varies depending on your browser. If you wish to block or delete cookies, you should in the first instance consult the operating documents for your browser.

The types of third-party services we may use as part of service delivery might include:

  • A blog or content management system
  • Google Analytics, or any similar website analytics program
  • Google AdSense and/or AdWords
  • Facebook, Twitter, Google+ or other social media “like” buttons or plugins
  • A shopping basket/cart
  • Web Server –you can read their Privacy policies by contacting them directly.

RSA And APA will Occasionally, at our discretion, we may include or offer third party products or services on our website. These third-party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.

How We Protect Your Information

We implement a variety of security measures to maintain the safety of your personal information, including when you register, or contact REALM Admin. Security measures include: Password protection on your account; CAPTCHAS; SSL (Secure Sockets Layered) technology to ensure that your information is fully encrypted and sent across the Internet securely or PCI Scanning to actively protect our servers from hackers and other vulnerabilities.

We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway providers database only to be accessible by those authorized with special access rights to such systems and are required to keep the information confidential.

After a transaction, your private information (credit cards, social security numbers, financials, etc.) will not be stored on our servers.

Realm Does Not Disclose Your Personal Identifiable Information To Third Parties

REALM Spiritual Advisors does not sell, trade or otherwise transfer your personally identifiable information to outside parties (including your email, financial or contact details). When purchasing services from REALM you provide your information to Third Party Merchant facilities who have their own privacy and disclosure policies. Trusted third parties working on our website, or assisting us to provide a service to you have agreed to adhere to our privacy and Non Disclosure policies.  RSA may be required to release information as part of legal compliances or to protect other people’s rights, property or safety and REALM endeavour to inform all parties should this arise. 

Phone or Video Recordings

As an online service facility, it may be possible for our seekers to retain copies of their chat transcripts or video/phone recordings for a period of four weeks after the service has been provided. Our customers may be offered an opportunity to have the consultations recorded and held for their review and comfort. These are held with the third party service provider, outside of the control of REALM.  We aim to provide a service where the Seekers can hold and review their consultations, and these are stored in the Cloud'. REALM does not access this information as a usual practice. The only time that REALM would request a transcript is when there has been an allegation of impropriety against a consultant, and as part of an investigation and Quality Assurance. 

Right to Access Personal Information

If you send an email to realm@realmsa.com, your email is can be construed as personal information. If you would like to see what information we have of yours, you have a right to do so. You may also ask to have your data amended or deleted.

Age Restrictions

It is not the intention of REALM Spiritual Advisors that the site be used by anyone under the age of 18. As such, it is not intended that information be collected from anyone under the age of 18.

Complaints

If you feel that your rights under the Australian Privacy Principles have been infringed, you should let us know what your concerns are. We will do our best to address your concerns by providing you with details of what information we have of yours, how it can be amended or deleted and how we have stored your information. In the unlikely event of a breach in our data security, we will seek to address the breach as quickly and efficiently as possible. You may also make a complaint to the Office of the Australian Information Commissioner: http://www.oaic.gov.au.

Personal Identifiable Information

Where REALM is obliged to retain personal information for legal and business purposes (for instance disbursements to service providers, or as a response to a formal complaint), this information will be kept in a secure folder on an external database and not held online. 

Changes To Policy

REALM Spiritual Advisors reserves the right to make amendments to this Privacy Policy at any time, to ensure legal compliances, and you will be notified by email in such an event. If you have objections to the REALM Privacy Policy (or other policies) , you should not access or use the site.
